What happens from reservation request to venue check-in—and what a digital pass does not guarantee.

Requesting a reservation

Select a published venue, available booking type, date, party size and contact details. ClubGate checks that the venue and booking type are active when the request is submitted. Requests can be made up to 180 days ahead and begin with a Pending status.

Confirmation and availability

A request is not a confirmed reservation. It becomes confirmed only after the venue accepts it and the status changes to Confirmed. Availability can change because venues control capacity, events, tables and operating decisions.

Keep your booking reference. The app shows the current status and does not treat a pending request as guaranteed entry.

Digital passes and QR codes

ClubGate creates a unique entry credential for a reservation. The customer app displays it as a QR pass; authorized venue staff validate it against the venue and booking status. A successful scan can mark a confirmed booking as checked in.

Do not publish, duplicate or transfer a pass. A pass can be rejected if it is invalid, cancelled, already used, for a different venue, or linked to an ineligible booking.

Entry eligibility

Confirmation and a valid pass support check-in but do not override venue rules. The venue may require matching reservation details, government-issued identification, minimum age, dress code, safe conduct and compliance with capacity or legal requirements. The venue listing should be checked before travel.

Changes, cancellations and no-shows

The current customer app does not provide a self-service change or cancellation action. Ask for assistance through support. Venue staff can move bookings through supported operational statuses, including Cancelled and No Show.

No cancellation fee, deposit or refund rule is created by this policy because ClubGate currently has no customer in-app payment flow. Any separate venue arrangement must be disclosed and handled by that venue.

Venue changes or cancellation

A venue may cancel or change availability because of safety, capacity, licensing, event or operational needs. The app’s booking status is the source for ClubGate confirmation. If a venue closes or cancels, contact support and avoid relying on an earlier screenshot.

Customer and venue responsibilities

Customers must provide accurate party and contact information, arrive at the agreed time, protect passes and follow venue rules. Venues must manage requests within their own ClubGate tenant, keep listing and policy information accurate, protect customer details and limit access to authorized staff.

Disputes and support

Use the support form and include the booking reference, venue and date. Do not include payment-card details or identification documents. ClubGate can review platform records; venue-service disputes may need to be resolved with the independent venue.
